During enrollment, SmartDollar checks this file to verify a team member’s eligibility. If a team member’s information is not included, they may not be able to enroll or connect an account.
Why the eligibility file matters
Keeping your eligibility file up to date helps make sure the right team members can access SmartDollar when they need it.
An accurate eligibility file helps:
- New hires enroll when they become eligible.
- Rehired team members regain access after returning to the company.
- Prevent ineligible or former team members from appearing as eligible.
- Resolve enrollment issues more quickly.
- Reduce confusion when team members access their SmartDollar benefit.
Common eligibility file issues
A team member may not be able to enroll if:
- They were recently hired and have not been added to the eligibility file yet.
- The company has a waiting period before SmartDollar eligibility begins.
- The eligibility file has not been updated since the team member was hired.
- They were rehired, but their information hasn’t been added back to the eligibility file.
- Their eligibility status needs to be corrected or updated.
What admins should do when a team member can’t enroll
If a team member can’t enroll in SmartDollar, review the eligibility file to confirm they’re eligible and listed correctly.
- Confirm the team member is eligible for SmartDollar.
- Verify their information is included and accurate in the eligibility file.
- If they are missing, add them to the file.
- If they were rehired, confirm their current employment status is reflected correctly.
- If your company has a waiting period, verify when they’ll become eligible.
- Submit the updated eligibility file through your company’s normal process.
- Ask the team member to try enrolling again after the updated file has been sent.
